Booking Terms & Conditions

These Terms & Conditions apply to all expeditions, retreats, workshops, events, and related services offered by Robert Edward Grant and booked through our official booking platform.

By confirming your booking, you acknowledge that you have read, understood, and agree to these Terms & Conditions.

These Terms & Conditions should be read together with the information provided at the time of booking, including the applicable itinerary, inclusions, and any Service-specific information.

Definitions

For the purposes of these Terms:

"Robert Edward Grant" ("we," "us," "our," or "the Supplier") refers to Robert Edward Grant, the provider of the Services.

"Services" means any expedition, retreat, workshop, event, education program, accommodation, transportation, or other service offered by Robert Edward Grant and booked through our official booking platform.

"Participant," "you," and "your" refers to any individual who books or participates in the Services.




1. Booking Confirmation

A booking becomes confirmed once your deposit or payment has been received and a Booking Confirmation has been issued.

The individual making the booking is responsible for ensuring that all participants included within the reservation have read, understood, and accepted these Terms & Conditions.


2. Pricing & Payments

Prices for the Services are published on our website and booking platform and may change without notice prior to booking.

A non-refundable deposit is required to secure your reservation.

Final payment deadlines are shown during checkout and within your booking confirmation. Failure to complete payment by the stated deadline may result in cancellation of your reservation.

Prices include only those items expressly stated in the applicable Services description or inclusions.

Participants are responsible for any applicable currency conversion fees, bank charges, taxes, visa fees, or other government charges.

Payment processing may be handled by our booking platform or third-party payment providers.


3. Cancellation Policy

Expeditions & Retreats

All deposits are non-refundable.

Cancellations made more than 60 days prior to the scheduled departure or commencement date may receive a refund of amounts paid beyond the non-refundable deposit, less any applicable transaction, processing, or administrative fees.

Cancellations made within 60 days of departure or commencement are non-refundable.

Unused portions of an expedition or retreat, including accommodations, meals, transportation, activities, or other included services voluntarily not taken, are non-refundable.

Workshops & Events

Unless otherwise stated at the time of booking, registrations for workshops, educational events, and other non-travel Services are final and non-refundable. No refunds, credits, or exchanges will be provided for cancellations, non-attendance, or unused portions of the Service unless required by applicable law.


4. Deposit Credit Policy

Although expedition and retreat deposits are non-refundable, we may, at our discretion, apply the value of a non-refundable deposit as credit toward a future expedition.

Any credit offered:

Credit has no cash value and cannot be redeemed for a refund.


5. Travel Insurance

Comprehensive travel insurance is strongly recommended for all participants traveling on expeditions or retreats.

Coverage should include, at minimum:

Participants are solely responsible for obtaining adequate travel insurance appropriate for the expedition.

We accept no responsibility for losses that would otherwise have been covered by appropriate travel insurance.


6. Passports, Visas & Documentation

For Services involving travel, participants are responsible for ensuring they possess all documentation required for travel, including:

Failure to obtain the necessary documentation does not constitute grounds for cancellation or refund.


7. Health & Fitness

Participants are responsible for ensuring they are medically and physically capable of participating in the applicable Service.

Expeditions and retreats may involve hiking, climbing, uneven terrain, caves, archaeological sites, boats, remote locations, varying climates, and physically demanding environments.

We reserve the right to decline or terminate participation or remove a participant where doing so is necessary for the safety of the individual or the group.

Participants are responsible for notifying us of any medical conditions or mobility limitations that may affect participation.


8. Eligibility

Participants must be at least 18 years of age to participate in expeditions and retreats unless expressly approved by us in writing.

Minimum age requirements for workshops, educational events, and other Services may vary and will be specified at the time of booking where applicable.


9. Changes Requested by Participants

Requests to change travel dates, participant names, rooming arrangements, or other booking details must be submitted in writing.

Approval is subject to availability and may incur administrative or supplier charges.

Changes are not guaranteed until confirmed in writing.


10. Changes by the Supplier

We reserve the right to modify itineraries, accommodations, transportation, restaurants, educational venues, speakers, guides, schedules, or activities where reasonably necessary due to operational requirements, supplier availability, weather, safety considerations, government regulations, or other unforeseen circumstances.

Certain archaeological sites, museums, private venues, caves, tunnels, ceremonial spaces, or other locations included within an itinerary may become unavailable due to weather, government restrictions, conservation requirements, safety considerations, or decisions made by local authorities. Where reasonably possible, we will substitute comparable experiences. Such substitutions shall not constitute grounds for cancellation or refund.

Minor itinerary adjustments shall not constitute grounds for cancellation or refund.

Where significant changes become necessary, reasonable efforts will be made to provide comparable alternatives.


11. Force Majeure

We shall not be liable for delays, changes, interruptions, or cancellations resulting from events beyond our reasonable control, including but not limited to:

We cannot guarantee refunds where suppliers do not provide them.

Participants are strongly encouraged to obtain travel insurance covering these circumstances.


12. Third-Party Suppliers

Expeditions rely upon independent suppliers including airlines, hotels, transportation providers, restaurants, local operators, museums, archaeological authorities, guides, and other service providers.

While we carefully select our partners, these services are provided by independent third parties.

We are not responsible for the acts, omissions, delays, negligence, insolvency, or failures of third-party suppliers.


13. Participation & Acceptance of Risk

Participants acknowledge that certain Services, particularly expeditions and retreats involve inherent risks, including but not limited to:

By participating in these Services, each participants voluntarily assumes these risks.


14. Photography & Media

Photographs, video, audio, and other media may be captured during our Services, including expeditions, retreats, workshops, and events. 

By participating in the Services, participants consent that photographs, video, audio, and other media may be captured throughout the expedition and consent to the use of their likeness for promotional, educational, editorial, and marketing purposes without additional compensation. Participants who prefer not to appear in photographs or recordings are responsible for making reasonable efforts to avoid being captured.


15. Privacy

Personal information collected during the booking process will be used solely for the administration and operation of your expedition.

Information may be shared with trusted suppliers where necessary to deliver booked services.

Information will not be sold to third parties.


16. Intellectual Property

All materials, presentations, educational content, publications, graphics, and other intellectual property provided in connection with the Services remain the property of Robert Edward Grant unless otherwise stated.

No material may be reproduced, distributed, modified, published, transmitted, or otherwise used without the prior written permission of Robert Edward Grant.


17. Limitation of Liability

To the fullest extent permitted by applicable law, we shall not be liable for indirect, consequential, incidental, or special damages arising from participation in any Service.

Our maximum liability shall not exceed the total amount paid directly to us for the applicable expedition.

Nothing within these Terms excludes liability where such exclusion is prohibited by law.


18. Governing Law

These Terms & Conditions shall be governed by the laws of the State of California, without regard to its conflict of law principles. Any dispute arising under these Terms & Conditions shall be subject to the exclusive jurisdiction of the state or federal courts located in California, unless otherwise required by applicable law.


19. Acceptance

By submitting a booking and making payment, you acknowledge that you have read, understood, and agree to these Terms & Conditions.
